Booking Terms

1. Bookings

All tour bookings are subject to availability and confirmation by us.

A booking is considered confirmed once payment has been received and a confirmation message has been sent by us via email or other agreed communication methods.

2. Payments

Full payment is generally required at the time of booking, unless otherwise agreed in writing.

All prices are shown in Japanese Yen (JPY), unless stated otherwise. Any currency conversion fees or charges imposed by your payment provider are your responsibility.

3. Refunds and Cancellations

Cancellations by the Customer

Cancellations up to 15 days before the tour date (based on Japan Standard Time):

No cancellation fee will be charged.

Cancellations made 14 days or less before the tour date:

A cancellation fee of 100% of the tour price will be charged.

No-shows (failure to attend the tour at the scheduled date and time):

A cancellation fee of 100% of the tour price will be charged.

Cancellation by Us Due to Bad Weather or Force Majeure

If the tour is canceled by us because it is deemed unsafe to operate due to circumstances beyond our reasonable control (force majeure), including but not limited to typhoons, heavy rain, earthquakes, natural disasters, or major transportation disruptions, refunds will be handled as follows:

• Guide fee: Fully refundable

• Actual expenses (such as vehicle costs, admission tickets, etc.):

Refunds will be made in accordance with the cancellation policies of the respective service providers. Some expenses may be partially or fully non-refundable.

• Reservation and arrangement fee: Non-refundable

Refund Method

Refunds will be processed using the same payment method as the original payment.

Any bank transfer fees or payment processing fees incurred may be deducted from the refund amount or otherwise borne by the customer.

Refunds After Tour Start

Refunds after the tour has started are generally not available.

4. Changes Requested by the Customer

Requests to change the tour date, time, or details after a booking has been confirmed are subject to availability and our discretion.

Additional fees may apply depending on the nature of the requested changes.

5. Changes or Cancellation by Us

We reserve the right to make minor changes to the tour itinerary where necessary for operational, safety, or weather-related reasons.

In the event that we must cancel a tour for reasons other than force majeure, you will be offered either a full refund or an alternative tour date, where available.

6. Participant Responsibilities

Participants are responsible for arriving at the designated meeting place on time and in suitable physical condition to participate in the tour.

We reserve the right to refuse participation or discontinue the tour if a participant’s behavior endangers themselves, other participants, or staff, in which case no refund will be provided.

7. Travel Insurance

We strongly recommend that all participants obtain appropriate travel insurance covering personal injury, medical expenses, and cancellation.

8. Limitation of Liability

Nothing in these Booking Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud, or any liability that cannot be excluded under applicable law.

Subject to the above, our liability in connection with any booking shall be limited in accordance with our Terms and Conditions.

9. Governing Law and Jurisdiction

These Booking Terms shall be governed by and construed in accordance with the laws of Japan.

Any disputes arising out of or in connection with these Booking Terms shall be subject to the exclusive jurisdiction of the Tokyo District Court, Japan.

10. Priority of Documents

In the event of any inconsistency between these Booking Terms and the Terms and Conditions, these Booking Terms shall prevail with respect to bookings and tours.

11. Accommodation Services

Where a tour includes accommodation, such accommodation is provided by independent third-party service providers.

We act solely as an arranger of accommodation services and are not responsible for the acts, omissions, or services of accommodation providers, except as required by applicable law.

The terms, conditions, and cancellation policies of the relevant accommodation provider may apply in addition to these Booking Terms.

12. Accommodation Cancellation Policy

For tours including accommodation, cancellation fees and refund conditions may differ from those applicable to day tours and may be subject to the cancellation policies of the accommodation provider.

Details of any accommodation-specific cancellation terms will be clearly communicated at the time of booking.

13. Changes to Accommodation Bookings

Requests to change accommodation dates, room types, or guest details after confirmation may not be possible and may result in additional charges or cancellation fees.

14. Accommodation Rules and Conduct

Participants must comply with the rules, policies, and check-in/check-out times of the accommodation provider.

Any costs, penalties, or damages arising from a participant’s failure to comply with such rules shall be borne by the participant.

15. Room Allocation

Room types, occupancy, and bedding arrangements are subject to availability.

Unless otherwise specified, participants may be required to share rooms with other participants of the same gender.

16. Limitation of Liability for Accommodation

To the extent permitted by applicable law, we shall not be liable for any loss, damage, injury, or inconvenience arising from the provision of accommodation services by third-party providers.

17. Package Travel

Where a tour qualifies as a “package” under applicable laws and regulations, statutory rights applicable to package travel arrangements shall apply.
